How to Secure Your SharePoint & Office 365 Environments

Managing permissions is probably the most critical and universal concern when it comes to SharePoint environments. In this video, we'll talk about how you can secure your environment with Sharegate. More precisely, we'll show:

  • How to get a clear picture of the permissions on a given site
  • How to manage and fix permissions
  • How to keep an eye on what happens in your environment

Permissions Matrix Report

The permissions matrix report is always a good start. You can run it from the explorer section. Start by selecting your scope. Then, you can choose which users and what type of objects should be displayed in your report. As for all reports, you can schedule it to run automatically at the date, time and frequency of your choice. The permissions matrix report allows you to get an overview of all the permissions on all the objects on your sites. Again, as for any report, you can always export the results to Excel and send them to the right person inside your organisation.

Manage Permissions

If you notice that you need to change some permissions on your sites, you can add, remove, check and copy permissions from the explorer too. You simply need to select a user, and decide from the menu the action you want to run. These actions are especially useful to SharePoint admins who have to manage permissions on a daily basis.

Not only can you manage permissions on your sites, but you can also manage your Office 365 Group membership.

Other Security Features

Note that you can also use the reporting section to find out about security issues and solve them. For example, we can run this built-in report on anonymous access and edit the results, so we remove all of them in one operation.

Moreover, let's not forget that permissions also include everything that is shared outside of your organization. The external sharing report allows you to see what is shared with external users.

Audit Report

And finally, you might also want to report on what is going on in your environments. You can keep an eye on the permission changes and other events through the audit report. First make sure that you activate the auditing on your sites. Then, when you run the audit report, pick the users, the time range, and type of events you'd like to see.
